4. Be Specific With Requests

Vague = delay. Specific = action.

❌ “Let me know your thoughts.” 

✅ “Could you confirm by Wednesday if we can proceed with Version B of the pitch deck?”

❌ “Can you help?” 

✅ “Can you connect me with someone from your design team who’s worked on packaging?”



5. Use a Polite Yet Professional Tone

Being concise doesn’t mean being cold.

✅ “Hi Asha — hope your week’s going well. Quick ask…” 

✅ “Thanks again for your support on this!” 

❌ “ASAP.” 

❌ “Please advise immediately.”

Tone should be respectful, not robotic or rushed.



6. Close With Clear Next Steps

Wrap up by telling them what happens next — or what you need from them.

“Looking forward to your input by Thursday so we can finalize the deck.” “Let me know if you’d prefer a quick call to discuss.”

Don’t assume the reader will know what to do. Make it frictionless.



Common Mistakes That Kill Email Effectiveness

❌ Writing Long-Winded Introductions

Your reader doesn’t need 3 paragraphs of backstory. Get to the point.

❌ Being Too Vague

Avoid statements like “just checking in” or “any thoughts?” without context.

❌ Using Jargon or Over-Formal Language

❌ “Per our prior correspondence, please apprise me of your availability.” 

✅ “Following up on our last message — when’s a good time for a quick call?”

❌ Reply-All Overload
